Project Orientation Checklist Project Orientation Checklist is created for business executives to assist them on introducing their projects to new team members and adapting these new persons within the project environment. This checklist will help you to orient your new employees in administrative and environmental factors of a project.

General Orientation:

  • Introduce new team member(s) to their immediate managers and supervisors;
  • Introduce new team member(s) to general project background and current history;
  • Represent the project general aims and specific objectives;
  • Tell to the new team member(s) about the project sponsorship and key stakeholders;
  • Hand out a copy of the project mission statement and extend it with additional explanations;
    Project mission statement is a brief and striking expression of the whole project ideology. 
  • Give the new employee(s) a briefing on contract terms, project plan and schedule;
    Encourage them to ask their questions and answer them in detail.
  • Demonstrate project organization and managerial hierarchy with a help of intelligible diagrams;
  • Demonstrate to the new team members their places in this hierarchy;
  • Introduce the key team members (in absentia), including project managers;
  • Ensure the new team members clearly know who the key project decision-makers are and what they are responsible for;
  • Introduce the new team members to their roles and responsibilities;
    Provide new team members with New Employee Workbooks explaining duties of their roles.
  • Assign “buddy” employee(s) to answer general questions and conduct initial walk-through;
  • Demonstrate their individual workplaces to new employees;
  • Give introductions to the rest of the team or department staff;
    Provide new employee(s) with a Team List with their names and positions.

Administrative and Workflow Orientation:

  • Assign a supervisor (patron) who can make sure that employee will get adapted well;
  • Explain the main employment conditions, requirements, rules and features:
    • Vacation, holidays, and sick leave;
    • Overtime schedules and pay rate;
    • FMLA/leaves of absence;
    • Progression plan;
    • Training plans;
    • Disciplinary actions;
    • Career horizon;
    • Daily dress code;
  • Educate the new employee(s) to accepted project standards:
    • Project Quality Manual;
    • List of project acronyms/trademarks;
    • Orientation documents (any blueprints, functional specifications, etc);
    • Status and progress reporting;
    • Review of the standard tools and systems;
    • Documented project assumptions;
  • Represent and articulate specific tasks, activities and conditions related to role;
  • Explain what is currently happening around this position;
  • Review the key policies used on the project and in the organization:
    • Job schedule (work/shift) and working hours;
    • On-the-job safety;
    • Security and confidentiality:
    • Performance requirements, standards and evaluation;
    • E-mail and Internet utilization;
    • Time and leave reporting (check-in/out);
  • Introduce the team procedures and atmosphere:
    • Schedule and agenda of regular team meetings;
    • Team leadership, format of communications and team culture;
    • Escalation process for issues and conflict resolution;
    • Emergency reaction team procedures; 

Facilities and Environment Orientation:

  • Give new employee(s) a tour of project facility, including:
    • Project office and personal workstation;
    • Conference rooms and bulletin board;
    • Cloakrooms, restrooms, emergency exits and first-aid supplies;
    • Fax, printers, copy machines and office supplies;
    • Cafeteria, kitchen, vending machines and other amenities;
  • Ensure a functional walk-through for new employee(s):
    • Individual hardware and software reviews;
    • Database and shared resources (access and permissions);
    • Personal rules on use of common equipment and supplies;
    • Telephones and other telecommunicational tools;
  • Make sure new employees are able of using project facilities, equipment and software:
